Shortlist is a purchase intelligence platform that helps teams evaluate, compare, and select software vendors. The Service includes AI-powered analysis, team collaboration features, and evaluation workflows.
You must create an account to use the Service. You are responsible for maintaining the security of your credentials and for all activity under your account. You must provide accurate information and be at least 18 years old.
You agree not to: (a) use the Service for unlawful purposes; (b) attempt to reverse-engineer or extract source code; (c) use automated tools to scrape or overload the Service; (d) share your account with unauthorised users; (e) transmit harmful, offensive, or misleading content.
The Service uses AI (Claude by Anthropic) to generate analysis, suggestions, and recommendations. AI outputs are for informational purposes only and should not be treated as professional advice. You are responsible for evaluating AI outputs before acting on them. AI usage is subject to a daily call limit per account.
You retain ownership of all data you input into the Service. We retain ownership of the Service itself, including design, code, and branding. Content generated by AI features is provided under a non-exclusive license for your business use.
Shortlist is currently in beta. We aim for high availability but do not guarantee uptime. We may modify, suspend, or discontinue features with reasonable notice. The Service is provided "as is" without warranties of any kind.
To the maximum extent permitted by law, Shortlist and its creators shall not be liable for indirect, incidental, or consequential damages arising from use of the Service, including but not limited to lost profits, data loss, or business interruption.
Either party may terminate this agreement at any time. You may delete your account through the Service. We may suspend accounts that violate these terms. Upon termination, your data will be retained for 30 days before deletion.
We may update these Terms from time to time. Continued use after changes constitutes acceptance. Material changes will be communicated via email or in-app notification.

Account data: Name, email address, and hashed password when you create an account.
Evaluation data: Vendor names, criteria, scores, priorities, constraints, team poll responses, demo feedback, and other project data you enter into the Service.
Usage data: Pages viewed, features used, AI call counts, and interaction patterns (collected via PostHog analytics).
Error data: Application errors and stack traces (collected via Sentry) to help us fix bugs.
We use your data to: (a) provide and improve the Service; (b) power AI analysis of your evaluations; (c) send you account-related communications; (d) monitor and fix errors; (e) understand usage patterns to improve features.
Your data is stored in Supabase (PostgreSQL database) with row-level security ensuring you can only access your own projects. Data is encrypted in transit (TLS) and at rest. Some data may also be stored in your browser's localStorage for offline access.
When you use AI features, relevant project context is sent to Claude (Anthropic's API) to generate analysis. This data is processed according to Anthropic's usage policies and is not used to train AI models. AI requests are routed through our secure proxy — your data never goes directly to third-party APIs from your browser.

We do not sell your personal data to third parties. We share data only with the service providers listed above, and only as necessary to operate the Service. Within a project, team members can see shared evaluation data (polls, scores, briefs) — but not other users' account data.

Active account data is retained as long as your account is active. Deleted accounts and associated data are purged within 30 days. Analytics data is retained in aggregated, anonymised form.
We implement industry-standard security measures including: encrypted communications (HTTPS/TLS), row-level security policies in our database, hashed passwords, JWT-based authentication, and rate limiting on API endpoints.
We may update this Privacy Policy periodically. Changes will be posted on this page with an updated date. Material changes will be communicated via email.
